FACILITY RESERVATIONS For local governments
Online facility reservations for parks and halls.
Facility Reservations lets residents check availability and request a pavilion, community hall or ball field online instead of calling the office. Your staff approve each request and collect deposits and fees from one screen, so the paper calendar at the front counter can retire.
- Every tool included
- WCAG 2.1 AA
- Works with BS&A
Why are pavilion and hall reservations still done by phone?
Booking calendars often live in a binder or a spreadsheet on one computer. Residents can't see what's open, so every reservation starts with a call.
What residents run into
- Residents call to ask which Saturdays are open, then call back after checking with family.
- Paying a deposit means a trip to the office during business hours.
- Nobody knows whether a request was approved until someone calls back.
What your staff deal with
- Your staff check a paper calendar and read dates over the phone.
- Two people book the same pavilion when the calendar isn't updated in time.
- Deposits are collected, tracked and refunded by hand.
How does a reservation work?
Residents request, your staff decide, and the calendar stays right.
Residents check availability
The availability calendar shows which dates are open for each pavilion, hall or field.
They request a date
Residents pick an open date and send a request, with the details your staff need.
Your staff approve it
Each request waits for staff approval, so you keep control over who books what.
Deposits and fees are collected
Deposits and fees are handled from the same screen, so there's no separate paper trail.
What does Facility Reservations include?
Reservations come off the phone, and your office still decides who books what.
Availability calendar
Residents see which dates are open for each facility before they ask, which ends the back-and-forth calls about which weekends are free.
Approval step for staff
Nothing is booked until your staff approve it, so you can check the request against your policies and keep holds for your own events.
Deposits and fees
Collect deposits and rental fees from the same screen your staff use to approve requests, so payment and booking stay together.
Built accessible
Booking that works with a keyboard
Date pickers and availability grids are easy to get wrong for people who use a keyboard or screen reader. The reservation pages are built to meet WCAG 2.1 AA, the standard in the ADA Title II rule, so every resident can check a date and send a request. See the accessibility page for how we build and test.
Questions about Facility Reservations.
Short answers, linked to the law where it applies. Ask us anything else on a demo.
Can residents book a pavilion without staff approval?
No. Every request waits for your staff to approve it. That keeps the decision with your office, so you can check a request against your rental policies, hold dates for your own events and turn down a request that doesn't fit, all before anything is confirmed.
Can we collect deposits online?
Yes. Deposits and fees are collected from the same screen your staff use to approve requests, so payment stays tied to the booking. That replaces a separate list of who paid what and which deposits are due back.
Which facilities can residents reserve?
Any space your staff rent out, such as park pavilions, community halls, meeting rooms and ball fields. Each one gets its own availability calendar, so residents compare dates for the facility they want instead of reading one combined schedule.
Do reservation pages need to meet ADA Title II?
Yes. Reserving a public facility is a service, and the ADA Title II rule applies WCAG 2.1 AA to the web content you use to provide it, by April 26, 2027 or April 26, 2028 depending on your population (ADA.gov (opens in a new tab)).
Will residents still call to ask about dates?
Fewer will. Once the availability calendar shows which dates are open, most residents can check a weekend before they pick up the phone. Some will still call, especially for a first rental or a large event, and your staff can still take those by phone.
Want the pavilion calendar off the front counter?
On a demo we'll request a sample date, approve it and collect a deposit from one screen.
