STAFF DIRECTORY For local governments
A staff directory you update once.
Staff Directory keeps departments, staff, phone numbers and office hours in one list that the whole website reuses. Residents find who to call by name or department, and when a number or an office's hours change, your staff update it once and every page that shows it changes too.
- Every tool included
- WCAG 2.1 AA
- Works with BS&A
Why is contact information wrong on so many government websites?
A phone number gets typed into the contact page, the department page, a PDF and the footer. When it changes, someone fixes one copy and the rest stay wrong for years.
What residents run into
- Residents call a number from an old page and reach someone who left two years ago.
- Holiday hours on one page don't match the hours on another.
- There's no way to search for a person, only a long list of department pages.
What your staff deal with
- Every staff change means hunting through pages for each mention of a name or number.
- Calls land in the wrong office because the website sends residents there.
- Nobody is sure which page holds the current list.
How does one directory update the whole website?
The directory is the source. Pages read from it instead of keeping their own copies.
Enter departments and staff once
Add each department with its phone number, address and hours, and the staff who work there.
Pages show the directory
Department pages, contact pages and anywhere else that lists a contact pull it from the directory.
Change it in one place
When a number, a name or the hours change, update the directory and every page that shows it follows.
What's in Staff Directory?
Contact details stay right everywhere they appear, because there's only one copy.
Department pages with hours and contacts
Every department page shows its hours, phone, address and the people to ask, so residents see the essentials without reading the whole page.
Update once, change everywhere
There's one copy of each phone number and set of hours. Change it in the directory and the department page, the contact page and every other mention change with it.
Search by name or department
Residents type a name or a department and find the right person, instead of guessing which page lists them.
Built accessible
Contacts every resident can read and use
Phone numbers and email addresses are only useful if everyone can read them. The directory is built to meet WCAG 2.1 AA, the standard in the ADA Title II rule, with real text instead of images, links people can tap to call or email, and a layout that works when someone zooms in or reads on a phone.
Do state laws require contacts on the website?
A few do, for specific officials. These rows come from our state guides. Follow a state for the full section and statute.
| State | Requirement | What the law says | Statute |
|---|---|---|---|
| Illinois | ADA coordinator and grievance procedures | Name, office address and phone of the coordinator, plus Title II grievance procedures | 65 ILCS 5/1-1-12 (opens in a new tab) |

Questions about Staff Directory.
Short answers, linked to the law where it applies. Ask us anything else on a demo.
How do we keep staff phone numbers current on the website?
Keep one copy. With Staff Directory, each number, email and set of office hours is entered once and shown wherever it's needed. When something changes, your staff update the directory and every page that shows that contact changes too, so there's no hunting for old copies.
Does Illinois require ADA coordinator contact information online?
Yes, for municipalities, townships and counties with a website. The site has to list the ADA coordinator's name, office address and phone, along with Title II grievance procedures (65 ILCS 5/1-1-12 (opens in a new tab)). The Illinois guide covers the related rules.
Should we list every employee?
That's your call. Many offices list department heads and the people residents contact most, plus a main number for each department. Whatever you choose, keep it in the directory so it stays consistent across the website.
Can residents email staff from the directory?
Yes. Email addresses and phone numbers are links, so residents can tap to call or email from a phone. If you'd rather not publish personal addresses, list a shared department address instead and route it inside your office.
Want to change office hours in one place?
On a demo we'll update a department's hours and show every page that lists them change at once.
